Nonprofit IT Support That Fits Your Team: How Cleartech Organized 250,000 Files for NewVue Communities

Nonprofits run on trust. Donors, funders, and the people you serve all expect you to handle information with care, and your staff are often covering several roles at once. That makes a messy, shared drive more than an annoyance. It slows down the mission.

Think about the last time someone on your team said, “I know that file exists, but I cannot find it.” Or the moment you wondered who else could open a folder full of financial records. Both point to the same problem. Your files have outgrown the way they are organized.

NewVue Communities reached that point. This Fitchburg nonprofit has worked since 1979 to build stronger neighborhoods across North Central Massachusetts, with programs in housing, local business support, and community organizing. Work from many departments lived in one shared space holding 250,000 items. The setup had grown past what anyone could keep organized or secure with confidence.

What It Was Like Before

Think of NewVue’s shared drive as on office building with one giant room. Every department’s files sat in that room together, and nobody was quite sure where anything belonged. Records that only a few people should see sat right next to everyday documents. Over the years, the room kept filling up.

What It Looks Like Now

Cleartech moved to NewVue into a new SharePoint site, which works like a building with clearly labeled floors.

Each department now has its own space, so the team knows where its work lives and where to save new files. A shared area holds the everyday documents that the whole organization needs, so nobody has to ask around for a form or a template. Finance and leadership records sit behind a locked door, and only the people who need them hold a key.

Those keys follow a person’s role, not a one-off decision made one someone’s first day. When a new hire joins a team, they receive the access that role requires and nothing more. When someone changes roles, their access changes with them. Leaders no longer have to wonder who else can open a sensitive folder, because the answer matches the org chart.

The Part That Makes It Stick

A new setup only works if people know how to use it. We wrote simple guides for NewVue’s staff, so everyone knows where their files go and how to find what they need. We wrote a matching guide for our own Service Desk, so when a NewVue team member calls with a question, the person answering already knows how the “building” is laid out.

Why It Worked for a Nonprofit Team

A nonprofit team cannot pause its mission for an IT project, so the goal was a switch that fit around the work already on everyone’s plate. NewVue’s leaders received a weekly update, so they always knew where things stood and what came next. The switchover itself happened in the evening, so the workday kept moving. The next morning, NewVue’s first review came back positive.

“The Cleartech Team made our SharePoint migration a smooth and successful experience. Your expertise, teamwork, and attention to detail created a secure, organized, and user-friendly environment. We appreciate the professionalism and commitment to making the entire process efficient and successful.”

What Other Nonprofits Can Take From This

You do not need 250,000 files to have this problem. Slow searches, unclear access, and folders nobody dares to open all signal that your setup needs attention. Fixing it takes a clear plan, a partner who adjusts to your needs, and steady updates along the way.

Cleartech Group is a veteran-owned IT partner based in Leominster, and we work with nonprofits and mid-sized organizations across Central Massachusetts. If your team is ready to take a closer look at how your files are organized and who can reach them, we would be glad to talk it through.

Every organization depends on IT, even the ones that don't look technical.

Landscapers, dental practices, construction firms, and law firms all rely on technology more than they realize. See who we work with.

Have questions about your setup?

We start every partnership the same way: a conversation about where you are, where you’re headed, and what you actually need.
